Room Representatives
What is a Room Representative?
Room Representatives play an important role in helping build a strong sense of community within each classroom at OFRS. Serving as a bridge between teachers, parents and the PTO, Room Reps support classroom events, assist with communication and help create memorable experiences for students throughout the year. This volunteer position is a fun and rewarding way to stay connected with your child’s class, get to know other families and support our teachers and school. Each classroom typically has three Room Reps who work together to share responsibilities and support classroom activities.
The responsibilities of a Room Rep are outlined in our Bylaws and include:
- Plan and organize class parties, as applicable
- Email communications about PTO events and friendly reminders
- Collect and manage classroom donations (These donations are used for the class parties, teacher/aide gifts, the classroom tricky tray basket, etc.)
- Plan the classroom Tricky Tray basket
- Chaperone class field trips
- Take photographs during class events and create a class Yearbook page
- Coordinate a handmade gift for Teacher Appreciation Week
- Coordinate classroom help should your teacher request it
- Coordinate teacher gifts (holiday, end-of-year)
How do I become a Room Representative?
The Room Representative sign-up form will be emailed on Sunday, August 30 at 3:00 p.m. Submissions are time-stamped and are filled on a first-come, first-served basis according to teacher assignment to ensure a fair and consistent selection process.
If you were a Room Rep this past school year, please be sure you met the Bylaw requirements to be eligible to be a Room Rep for this year:
- Consistent attendance at PTO general membership meetings and events in the previous year (with the exception of kindergarten parents or families new to OFRS);
- Consistent participation in Room Representative responsibilities in previous years, if the applicant has served as Room Representative before;
- For purposes of this section, the term “consistent” means attendance at or participation in 75% of PTO meetings and events, and the Room Representative activities (i.e. the activities identified in the responsibilities listed above).
- PTO membership in good standing
How do I find out if I am a Room Representative?
Once our Director of Scheduling and Room Representative Coordinator obtains class lists and reviews the submissions, you will be contacted to confirm if you are still interested in the role. Please be sure you can commit the time to share the responsibilities with the other Room Reps before accepting the role. Room Representatives are selected on a first-come, first-served basis, provided the applicant meets the eligibility requirements outlined in our Bylaws. Previous participation as a Room Representative and the applicant’s demonstrated commitment to fulfilling the responsibilities of the role will be considered when determining eligibility.
PTO membership must be established, and proof of membership provided, by October 1. A hardship exception may be requested as provided in the Bylaws.
Thank you for your continued support of our students, teachers, and school community. We look forward to another great year!
